Book clubs

Looking to meet a group of like-minded book lovers? Hawkesbury Library Service hosts two book clubs which meet monthly.  There is one evening group and one daytime group.  Both are free to attend and reading material is usually supplied by the library.

Third Thursday book club

Meets every third Thursday of the month, 10am-12noon

Come along and meet new people, find out about what others are reading, and discuss what you have read. Or simply come along and listen.  Things you may like to discuss are:

  • Writing style
  • Theme
  • Author
  • Impact it has had on the reader
  • A favourite scene or passage from the book.

Independent book clubs

Do you already have an established book club or thinking of starting one? Local book clubs can apply for a special Hawkesbury Library Book Clubs membership and use this to reserve and borrow book club kits. Each kit contains 8-10 copies of the same title and a discussion guide and is available for clubs to borrow for 6 weeks at a time. Membership Cards

To borrow the book club kits, your book club will need to be registered and issued with a Book Club Membership card.

Any local Book Club can apply for a Book Club Membership. A book Club is considered to be “local” if it meets regularly within the Hawkesbury boundaries, or if a minimum of 2 Book Club members are Hawkesbury Library members.

An application form will need to be completed and lodged at one of our library branches.  When completing your application form, 2 members of your Book Club need to be nominated to be the library contact people. They will be responsible for coordinating any borrowing and returning of kits, and organising payment for any overdue, lost or damaged items.

An annual fee of $80 is payable, and we will put the funds towards purchasing new titles to create new kits.

Once you have joined, the kits themselves are free to borrow from the library. However, if the kit or a part of it is lost or damaged, standard library charges will apply.

Applying for a Membership Card

To lodge your application, one of the 2 designated contact people should bring the completed form into one of our branches, along with some means of identification for themselves and your group’s application fee.

This will be forwarded to the Book Club Kit coordinator for approval. Please allow up to 2 weeks for your membership to be approved and a Book Club membership card to be issued. Your card will be forwarded to your nominated branch for collection when ready. Your contact people will be notified by email.

Choosing a Book Club Kit

Work through the list below as a group and decide which titles you’d like to read. Make your selection as large as possible to help the contact people find an available kit for your discussion.

To borrow your kits, a hold may be placed on one title at a time. Allow at least one week for the kit to arrive.

Borrowing a Book Club Kit

Book Club Kits can only be borrowed using a Book Club Membership card. You will be notified by emailed when the Kit becomes available for collection at your nominated library branch.

Your Book Club Membership card must be presented to collect a reserved kit.

Ask for the kit at the library desk. Please note both borrowing and returning need to be done directly with library staff, rather than using a self-checkout machine or the returns chute.

Book Club Kits are on loan for 6 weeks. This is to allow a 2 week period for pick up and return of the Kit. It is not possible to renew Book Club Kits, so the group needs to read and discuss the book within the period.

A Book Club should read one book at a time. A maximum of 2 kits can be on loan to a Book Club to allow a hand over period between last month and next month’s kits.

At your book club meeting, distribute books to club members, keeping a record of which person has which copy using the identifying number on the front cover.

Returning a Book Club Kit

Book Club Kits must be returned as complete sets. Do not return books out of kits separately.

Make sure you receive all copies back from members in time to return the complete kit by the due date.  Please do not allow individual book club members to return their Kit books separately to the library. Return the kit to the library desk. Kits cannot be returned through the returns chute.

Lost or damaged items

Standard library charges apply to lost or damaged items. The library contact people will be responsible for arranging payment of any charges. Your book club may like to discuss in advance how any charges will be paid for. Please endeavour to be available to drop kits back by the due time as kits cannot be renewed.  The library contact people will receive a reminder email if the kit is not returned on time.

Membership Changes

Over time, membership of your book club may change. Please advise staff so that your record can be adjusted.  In the case of new library contacts, the new person needs to advise the library staff and provide the Book Club Membership card along with some means of identification for themselves. Any outstanding charges should be cleared first.

FAQs

How many kits can we borrow at one time?

A maximum of 2 kits can be on loan at any one time – the kit your club is currently reading and the kit you are about to use. The second kit allows easier changing over of kits from one month to the next.

How many kits can we reserve at one time?

Only 1 kit can be reserved at any one time – clubs are advised to allow at least one week for the kit to arrive.

Who can collect the kits?

Only holders of a Book Club membership card can borrow the kits and the card must be presented at the time of borrowing. It is recommended that one of the two nominated contact people for your club keep the card and be responsible for picking up (and dropping off) the kits. If however one of these two people cannot do so, any club member in possession of the card can pick up a kit on the club’s behalf.

How long is the loan period?

The standard kit borrowing time is 6 weeks. This allows you a little extra time, assuming you meet monthly, to pick up the new kit before a meeting and return the last kit after your meeting.

Can we renew the loan?

No, book club kits are not renewable. In order to keep the kits turning over and to allow as many book clubs as possible to get the kit they want to read, loans are strictly limited to 6 weeks with no renewals.

Our usual contact person is away and can’t collect the kit for our next meeting?

Whilst it is best to have a single person responsible for collecting and returning kits, there will always be times when the usual person is unavailable. In these instances, another group member can collect the kits, as long as they are in possession of the club’s card.

One of our nominated contact people has left the book group?

One of the pieces issued to us in the kit has been misplaced?

If this situation arises, the first thing you should do is come and speak to us so we can work out a solution. We may be able to extend the due date to give you time to find the missing item or alternatively, the book club might elect to pay for the missing item. Please keep in mind that each book club can still only have 2 kits on loan at a time.

As the library does not keep contact details of your club’s members, the nominated contact person/people for the club should do their best to contact the member who misplaced the item and ask them to look for it and return it. It is the responsibility of the contact people to ensure that all books issued on the club’s membership card are returned in good condition by the due date so if a book goes missing, or you haven’t returned the kit on time, the contact people will receive a notice via email.

One of the books issued to us in the kit has been damaged?


If this situation arises, the first thing you should do is come and speak to us so we can work out a solution. Staff can assess the damaged item and let you know if the item is still suitable for use or not. If an item is assessed to be unsuitable for continued use, the standard replacement charges will apply. It is the responsibility of the contact people to ensure that all fees charged to books club’s membership card are paid. It is then up to the club to recover the costs in whatever manner they have agreed to.
